Vancouver Athletic Football Club (VAFC) is the fastest growing and largest youth soccer club in Vancouver (2300+ youth), and we are seeking an engaging and self-motivated part-time House League Junior Coordinator.

Reporting to the Manager of Operations and Administration, our Program Coordinators have primary responsibility for delivery and administration of our House programs (September to March), and for assisting the Manager with administration of all VAFC programs throughout the year.

Overview of the Position

This is a part-time, year-round, independent contractor position associated primarily with our house league which runs from September to March, and support for our spring and summer programs. While work hours within the week are generally flexible, our organization has peak times during the week and seasonally that require availability including at times on the field with our membership. Peak seasonal times include registration and start up of our winter program, spring program, development programs and player evaluations. In addition, the position involves attending occasional evening meetings and weekend events.

The contract is typically a one-year term and will be extended depending on the applicant’s success in the role across the season and upon approval by the Board of Directors (Board). A competitive compensation is offered based on experience.

The Program Coordinator must maintain a valid driver’s licence and a Criminal Record Check is required. As an independent contractor the Program Coordinator will be responsible for providing a home office, mobile smart phone, computer with Internet and e-mail access.

Qualifications

The successful candidate will:

  • Be a self-starter with excellent organizational, communication, planning and leadership skills;
  • Be proficient in the use of MS Office or equivalent software products for word processing, spreadsheet and database management and e-mail; and
  • Have relevant experience in administering programs, including employment or volunteer work in a non-profit or amateur sports organization or similar business environment

Summary of Responsibilities

House League Operations

Work with the Manager of Operations and Administration to ensure the operational needs of the Club are carried out to deliver the registration, fee management, scheduling and delivery of House League, and other programming throughout the year. Recruit and manage volunteers, act as the key contact for House League, organise communications, meetings and training for Team Managers and Coaches, organise House League events, and coordination House League communications. Support tournament processes as required.

Responsible for on-field support, particularly at the start of the season, acting as club representative and ensuring equipment is set up correctly for teams. Provide on-field presence at house chapter fields on practice and game days where possible; maintain photo library of house league players for Club’s social media and website. Organize the annual Wrap up event and Cleat Swap ensuring all volunteers are in place and teams are informed of their schedule in advance.

Monitor and respond to Club email and social media communications. Provide regular House League updates for the Club website and social media and maintain and update FAQs relevant to House.

Volunteer Coordination & Mobilization

Recruit and train volunteers throughout the year, ensuring Age Group Coordinators (AGC) and Team Managers are prepared for the season. Act as a resource for all volunteers related to operational and procedural issues and VAFC policies.

Equipment and Uniform Management

Work with other Program Coordinators to manage the House League uniform and equipment inventory, advising the Manager of any requirements in advance of season. Ensure uniforms and equipment bins are equipped, documented and distributed before season start, replenished mid season as necessary, and collected at the end of the season.

Gym and Field Scheduling and Management

Work with other Program Coordinators to ensure all House League teams have gym and field allocations for practices and communicate with teams, assisting with field issue resolution as needed. Support the Manager with the field renewals and management of permits.

Cross Divisional Support

Understand all the Program Coordinator roles and work together across House Mini, House Junior, Divisional, and provide support to the Manager where required throughout the season to ensure team submissions and team formation are completed in a timely fashion. Support the smooth transition of players, parents and volunteers from the House League to the Divisional leagues.
